Meeting Minutes of April 7, 2009

Scott called the meeting to order at 7:15 p.m.
OLD BUSINESS:
This meeting had been scheduled for the Team to meet and talk with our speaker about the upcoming CCM service on April 26. However, she was unable to come. We went over our program once more and made a few adjustments.
EXPENDITURE OF FUNDS:
For this year through March we have expended $19,834.19, and during the first week of April we have expended $1,900. Of these amounts, 36 percent has been for housing, 21 percent for heating oil, and 7 percent for other utilities, which is about par for operations based on our past history of supporting the local community. We expect housing and utilities support to remain high in the coming months due to the economy. Utility companies will not normally shut off service for nonpayment until warmer weather; we expect an increase in requests for assistance when shut-off notices begin to go out in May and June of this year.
The next meeting will be Tuesday, April 21, to meet with our speaker. If she is unable to come then, we will not meet that evening. You will be advised.
Rehearsal will be Thursday, April 23.
We will meet again on May 19 at 7 p.m. in the Laity Room to plan for fundraising for the coming year.

Meeting Minutes of March 24, 2009

Scott called the meeting to order at 7:00 p.m.
OLD BUSINESS:
Work continued on the planned Community Crisis Ministries Sunday of April 26. Scott met with John and went over the program in a meeting that was very helpful. He brought a draft Bulletin, and we finished plugging in presenters and remaining items.
The chapel service will be shorter, so we condensed the Bulletin for that service.
When the Team meets again on April 7, we will meet with our speaker and finalize everything.
Rehearsal will be Thursday, April 23.
NEW BUSINESS:
The next project will be preparing the fund letter for pledges, which we hope to mail by the end of May.
The next meeting will be Tuesday, April 7, at 7:00 p.m.

The Team continued planning the April 26th Community Crisis Ministry Sunday. Things are coming together quite well.
EXPENDITURE OF FUNDS:
There has not been as much activity for CCM to date, $13,000 has been spent ($7,000 in January and $6,000 in February). The biggest help has been the drop in the price of oil so that we are able to help more people for the same amount of money. Other agencies are helping more with oil, too.
Next Meeting: Tuesday, March 24, at 7:00 p.m. in the Laity Room.

Continuing with the planning for the April 26 Community Crisis Ministries Sunday, the following hymns were selected from Songs of the Spirit either for singing or responsive reading: 21, 135, 60A. Bible readings were examined and discussed. Two possible guest speakers were discussed. An over-all theme is emerging.
The next meeting will be March 11, Wednesday. This is a change from prior notice. Other meetings will be March 24 and April 7, Tuesdays. All will be at 7:00 p.m. in the Laity Room.

Meeting Minutes of February 10, 2009

Scott called the meeting to order at 7:10 p.m., and offered a prayer.
OLD BUSINESS:
As reported last time, the Council has expressed interest in holding a discussion regarding the outreach relationships of the CCM Team and the Mission Outreach Team. Scott reported on his discussion with John about it, and we discussed it further.
A speaker is not yet finalized for CCM Sunday in April. Scott and Kathy will try to do this before our next meeting. We spent some time with the Lectionary readings and looking for alternates. Before our next meeting we will look at hymns in the Songs of the Spirit.
The next meeting will be February 23 at 7:00 p.m.; the meeting after that will be held March 9 at 7:00 p.m.

MEETING MINUTES OF
JANUARY 19, 2009

Scott called the meeting to order at 7:00 p.m., and Kathy read an opening story.
EXPENDITURE OF FUNDS: Scott presented the total numbers for 2008: Income was $111,260 and expenditures for assistance were $111,314. This compares with 2007 where income was $91,624 and assistance was $98,202. Needs have been higher in 2008 because of the price of oil and the economy. The major focus of CCM continues to be housing and utility assistance.
NEW BUSINESS: An interest has been expressed to join CCM, and we discussed adding new members.
The Council has approved the date for CCM Sunday for 2009; it will be April 26. Both John and Elsa will help although John is away April 23-25. Scott will get the lectionary from Elsa.* Possible themes were suggested and discussed. One suggestion of an outside speaker will be pursued before our next meeting after we have discussed these ideas with both ministers.
The subject of pledging for CCM was discussed briefly. Most people respond right away when they receive the card although a growing number of the congregation now give for Christmas or end-of-year tax purposes. It was noted that it would be helpful to the Team to know how much aid CCM provides to the city of South Portland each year for general assistance. They are our largest social agency requesting local aid to needy citizens; we will start keeping that record in 2009.

Community Crisis Ministries
May 13, 2008

Scott called the meeting to order at 7:00 p.m., and Jerry offered an opening prayer.
EXPENDITURE OF FUNDS:
Kathy Sahrbeck, Community Outreach Coordinator, reviewed the expenditure of funds. In April, $2,702.62 was spent. From January 1 through today, $37,509.70 was spent.
There have been several very large requests for funds, including one for past electricity bills that exceeds what we normally fund. Since winter is over, utilities are now calling in bills owed with threats of power cutoff. It is anticipated that expenditures this year will exceed those of other years: in 2004, we spent $100,800; in 2005, $92,000; in 2006, $77,000; and in 2007, $97,000.
OLD BUSINESS:
The team discussed the CCM Sunday, which took place on April 13. Our presentation was well received and a number of people gathered in Davidson Lounge afterwards.
NEW BUSINESS:
We discussed the timing for our pledge drive and decided the mailing would go out on May 29. Scott will draft the letter and pledge card this week and e-mail it to the Team for input. The stuffing party will be Wednesday, May 28, at 2 p.m. Kathy will contact those who signed up to help CCM and recruit four people from them to help the Team, who will include Scott, Jerry, Kathy, and Ann. More brochures are needed, and more will be printed to give us enough but not excess, since we may make changes next year. Note that the office now requests we advise them of the number of copies we make.
Kathy will ask Cyndi to print the labels by May 23. Scott will arrange for the printer to do the pledge cards. We will need large #10 envelopes with return address and franking, plus small return envelopes, also work for the printer. This will be a four-piece mailing.
As pledges come in, we will need to respond with thank you cards. Scott will organize this, and we will plan to use several church members who have asked to help.
